DID Orders
Ordering numbers can be a tedious process, especially tracking what numbers have been ordered, when they were ordered and for whom. Not to mention the notification to the customer when the number has been issued. OnTrack was designed to simplify the process.
When a new number is needed, simply fill out the form for a new number similar to the form to the lower right. When the form is saved, it automatically sends an email to your vendor with the request and copies your team for confirmation of the order.
When your vendor provides you the new number, simply copy/pasting it into the form and dating it will close the order out.
Based on your needs, when the order is filled, an email to the team and/or the customer can automatically be sent out. For example, one of our customers has a drop down in the order form (as can be seen above). Based on the 'type' of customer, an automatic email is sent to the customer alerting them to the new number, along with a link for them to fill out the customer setup form for the account to be built in the call center platform.
Current flow is:
- Complete your custom Order Form
- Form automatically sends the order to your vendor
- Vendor fills order
- Your team copies / pastes (to avoid transposing numbers =) into the form, along with the fulfillment date.
- Form automatically updates your team of the order fulfillment AND emails your customer for Next Steps.
The interface to order the number is of course just part of the process. Being able to quickly see what number orders are still outstanding, when they were ordered and by whom, and what number orders have been closed, helps the entire team ensure everything is on task and the customer is being taken care of.
